Your Teams calendar is connected to your Exchange calendar — a meeting scheduled in Outlook shows up in Teams and vice versa. Every meeting scheduled in Teams is automatically made into an online meeting.

Schedule a meeting

There are several ways to start:

Fill in a title, invite people, and add details. Use the Scheduling Assistant tab to find a time that works for everyone, then select Save — this closes the form and sends an invite to everyone's Outlook inbox.

Invite people outside your organization

Teams lets you invite people without a Teams license, using their full email address:

  1. Under Add required attendees (or Optional), type the person's full email address.
  2. Select Invite. They receive an email with a link to join.

Make it a channel meeting

  1. Select New meeting.
  2. Type the channel name under Add channel.

Everyone in the team can see and join a channel meeting from that channel. This isn't available in private channels, and the channel can't be changed once the invite is sent — send a new invite if it needs to change.

Recurring meetings

Open the dropdown next to Does not repeat (below the date) and choose a cadence, or select Custom to set your own.

Calendar views

Day, Work week (Monday–Friday), and Week views are available from the dropdown at the top right. Select the month/year at the top left to jump to any date, or use the arrows to scroll. Select Today to return to the current date. The calendar shows everything scheduled in Teams, Exchange, or Outlook.

Right-click any event to RSVP, remove a canceled meeting, or open its details. For a Teams meeting, you'll also see Join online and Chat with participants. A join button appears five minutes before a meeting starts; if you have overlapping meetings the button won't show, but you can still right-click and select Join online.
